Present at the meeting were Vestry members Nickie Van Stelten,
Rochelle Wegman, Sr. Warden Nancy Zwickey, Jr. Warden Ray Splinter,
Secretary Tracy Muhlenbeck, Beth Davis, Jim McGuire, Missy Manderfeld,
Bill Gray, and new vestry member Jan Mickelson. Fr. Paul Rider was on
vacation.
The Vestry meeting was opened with a prayer and response from "A
Disciple's Prayer Book," and a brief reading by Nickie from C.S.
Elliott about Christianity vs. Atheism.
The minutes from the last meeting were printed in the Chronicle.
Motion to approve minutes as printed was made by Nickie Van Stelten.
Seconded by Missy Manderfeld. Approved by all.
Sr. Warden, Nancy Zwickey, started the meeting by noting the
donation of the chairs to the meeting room by St. Julian's Guild. Many
positive comments were made about the comfort of the chairs.
Nancy passed around a Vestry signature page for each of the Vestry
members to sign and print their name.
Financial Report
Bill Gray distributed and presented the Financial Report. Nancy
thanked Bill for getting the report to the Vestry in advance for
review. Bill briefly reviewed the report for Jan, who has not been to
any meetings in the past for explanation of the format of the report.
He noted that both plate and pledge were down this month. Amounts for
donations for flowers are also down for the first three months of the
year. Physical plant and curriculum are currently over budget. Bill
noted that plate needed to be approximately $2,750 each month in order
to break even on the budget and that hasn't happened so far this year.
Rochelle Wegman made a motion to accept the Financial Report as
presented. Seconded by Nickie Van Stelten. Approved unanimously.
Bill also noted that he has met with the Asst. Financial Officer at
the Diocese regarding discrepancies in payments. He found they had not
recorded some adjustments to our fair share and some payments that were
not recorded. However, St. John's has not paid some of Rev. Kathleen's
payroll deductions. Bill believes St. John's owes approximately $1,800
to square away the accounts receivable with the Diocese. He will
present the actual figure at the next Vestry meeting. His goal is for
St. John's to be one of the few parishes who are not in debt to the
Diocese.
Team Reports
Personnel
Tuesday, April 20th, and Wednesday,
April 21st, at 3:30 p.m., the available members of the Personnel team
will meet and interview the secretarial candidates. Nancy will call and
schedule the candidates for interviews.
Check In
Nickie announced that Winnie Mitchell had
been accepted to Southwestern in Austin, TX with an 80% tuition
scholarship. Winnie has not made the decision yet whether or not to
accept.
Jr. Warden
Ray laid out the upcoming expenses
including $1,900 for organ repairs, $800 for air conditioner repairs
and $9,000 for roof repairs. He wanted the Vestry members to address
ideas for coming up with the funds for these expenses. A Property
committee meeting is scheduled for Thursday, April 15.
Sr. Warden
Nancy had a laundry list of items she
wanted to address.
Announcements—Nancy had a discussion with Fr. Paul about the
possibility of having a time for announcements immediately following
the church service before the congregation was dismissed. This idea was
acceptable to him. Nancy thought that many parishioners were frustrated
that there was a deadline for announcements for the bulletin and when
that deadline was missed, they could not announce anything during the
service. This would remedy that.
Wednesday Services—Beginning April 21st through May 26th, there will
be a Contemporary Worship Service, followed by a pot luck supper and
then a program titled "Welcoming the Stranger."
Pancake Supper—There will be a ADIVAC Fundraiser held on May 2nd at
St. John's. The Coffee Hag will be preparing a pancake breakfast for
the congregation in return for the use of the church later in the day
for the pancake supper fundraiser. The funds will go towards a domestic
abuse shelter in Mexico. In discussion with Nancy, Fr. Paul suggested
that the plate on May 2nd go towards the fundraiser. Nickie Van Stelten
made a motion for the plate for May 2nd be donated to the fundraiser
for ADIVAC. Bill Gray seconded. Passed unanimously.
The Da Vinci Code—Rev. Canon William Donovan of St. Mark's will be
at St. Johns on Tuesday, April 27th at 7:00 p.m.. He is being sponsored
by St. Julian's Guild and all are welcome to attend. He will be
discussing the book, The DaVinci Code and its popularity. He will be
presenting this program in the sanctuary.
Progressive Dinner—At this time, 32 individuals are signed up to
attend the dinner on Saturday, April 24th.
Parish Forum—Nancy noted a meeting with the congregation needed to
be scheduled. This meeting is typically held two times a year, spring
and fall.
Previous Vestry Members—Nancy thought there had been a record at one
time of the previous vestry members. She would also like the dates
noted when the current members commitment expires.
Priest-In-Charge
Fr. Paul was on vacation.
Work of the Church
The Van
The title of the vehicle has been
transferred to the church. Nancy explained that the appraisal for the
van came in at a much lower figure than she had anticipated. In order
to get the most money for the church, she proposed the Vestry agree to
sell the van for a minimum bid of $5,680, which is the Kelly book
value. She suggested that the bids be open to the congregation first
and then if a buyer was not found, the bids would be open up to the
public via a consignment lot or other method of sale (to be agreed upon
at the next Vestry meeting) should the van not be sold by May 3rd. Bill
will look into the church holding insurance for the vehicle so that it
may be test driven. Nancy currently has insurance on the vehicle, even
though she has transferred title, but offered to pay the premium of the
church's insurance if it makes more sense to do that than to have her
carry the insurance.
There was some discussion about finding a parishioner willing to
keep the vehicle on their property and show the vehicle to potential
buyers should the van not sell to a congregation member.
Fund Raisers There was some discussion on ideas to
raise the funds for the upcoming expenses. Ray suggested a note be put
into the bulletin explaining the nature of the expenses and the need of
funds to cover the expenses. Bill noted that any funds over and above
normal pledge amounts should be specified for each expense otherwise
the Diocese will receive 14% of those funds as normal plate and pledge.
Beth shared an idea from another church of listing the needs on a
bulletin board with envelopes printed with the categories. A
parishioner could choose an envelope which they wish to contribute to
and insert a check. They could be assured that their donation would
then go specifically toward that need.
Nancy is planning to put out a newsletter and put it into member's
boxes by Sunday, April 18th detailing the additional expenses and
upcoming events.
Rochelle noted that the meeting had been timely, gone well and she
thought the Vestry had accomplished a lot. She thanked Nancy for her
leadership.
Closing
Nickie closed the meeting by asking the Vestry to join her in the
Lord's Prayer.
Action Items
Bill Gray to present the actual figure of the amount owed by St.
John's to the Diocese at the next Vestry meeting.
Personnel team to meet and interview potential secretarial
candidates on Tuesday, April 20th, and Wednesday, April 21st.
Nancy will schedule a Parish Forum meeting.
Bill Gray will look into interim insurance for the van while it
is in the process of being sold.
Nancy will create a newsletter and distribute it to the members
boxes by Sunday, April 18th, detailing additional expenses and upcoming
events.
